Two ways to staff the cleaning
Somebody empties the bins and scrubs the restrooms in your building. For an owner, office manager or property manager, the real decision is whether that person draws a paycheck from you or from a contractor. Either arrangement can produce a well-kept space; what changes is how much of the work around the cleaning lands with you.
With an in-house crew, your organization employs the cleaners, buys what they use and decides each evening what gets done. With outsourced janitorial service, a company takes on the people and the routine, and you manage the result through a written task list. Below, the two models line up row by row. For rates, our Oakland cleaning cost guide covers the numbers, and if you settle on hiring out, our advice on choosing a cleaning company is the next read.
The comparison in one table
Read each row as a job that has to land somewhere. The middle column shows where it lands when the cleaners are your employees; the right column shows where it lands with Oakland Cleaning Co.
| Responsibility | Cleaners you employ | Oakland Cleaning Co |
|---|---|---|
| Recruiting and screening | You post openings, interview and screen every hire | Background checks happen before any cleaner starts |
| Insurance and workers’ comp | Coverage for each cleaner comes from your policies | Bonded, insured and covered by workers’ comp; COI for each client |
| Checking the work | A manager of yours walks the building after hours | Supervisor quality inspections, checked line by line |
| Supplies and equipment | You buy chemicals, paper goods and machines | Paper, soap and liners can be supplied and restocked |
| Changing the work | More hours can mean another hire or overtime | A line on the written task list is changed |
| Floor and carpet projects | Needs machines and trained hands, or another vendor | Strip and refinish, recoats and extraction booked on schedule |
| Your management time | Scheduling, payroll and onboarding stay with your team | Your part becomes walkthroughs, feedback and reviews |
When keeping cleaners on staff makes sense
An in-house crew suits an organization that already runs a facilities department with a manager who has time to hire, train and inspect. A campus with a maintenance team on site every day, for example, can fold cleaning into that team’s day so one supervisor covers repairs and upkeep together.
It also suits work that needs a person in the building all day for reasons beyond cleaning, such as moving furniture, setting rooms for events or running errands. In those cases the cleaning is one duty among several, and an employee who knows the place well earns their keep across all of them.
What a janitorial company takes off your desk
Most of the work in running a cleaning crew happens before anyone picks up a mop: recruiting, screening, buying supplies, carrying insurance and checking results. Outsourcing moves that work to a company whose whole business is doing it. Our crews arrive background-checked, our supervisors inspect the building on a schedule, and you receive a certificate of insurance confirming our insurance, bonding and workers’ compensation coverage.
Periodic work comes with it. Hard floors due for recoating or stripping, and carpet ready for hot water extraction, can be planned into the same program through our janitorial services instead of sending you to find a separate vendor with the right machines.
Paper towels, toilet paper, soap and can liners can also be part of the plan, stocked by the crew as it works, so your team stops tracking dispenser levels and reordering by hand.
Questions to settle before you decide
The right answer for your building comes from a few plain questions about your team and the space. Work through them with whoever would end up managing the cleaners.
- Which person on your team would recruit, schedule and inspect a crew, and is there room in that person’s week for it?
- Do you already buy cleaning chemicals, paper goods and floor machines, or would that start from zero?
- Which floors are VCT, stone, concrete or carpet, and who handles their periodic care today?
- How often does your use of the building change, with new tenants, new teams or new hours?
- Does your current insurance cover employees doing cleaning work, and who keeps track of it?
- Would daytime help still be needed after the nightly clean is handled?
If most of those answers point to a busy team with little room for one more department, a company is the cleaner fit. If you already have the manager, the equipment and the coverage in place, adding staff is the simpler step.
Using both at once
Mixing the two models works as well. One arrangement keeps an employee on hand for daytime tasks, while a contracted crew takes the evening clean along with the periodic floor and carpet projects. Others hire a day porter to keep lobbies and restrooms in order during business hours while a night crew handles the rest.
When the work is split, write down which side owns each task so nothing falls between them. A shared task list, reviewed together after the first month, keeps both sides working from the same page. When you want to see how outsourcing would look for your space, request a walkthrough and a written quote.
A few useful answers
Common questions.
Where can we see what outsourced cleaning costs in Oakland?
Our Oakland cleaning cost guide lists 2026 rate bands for janitorial service, floor care and carpet cleaning, and explains which building details raise or lower a quote.
Are the cleaners you send background-checked?
Yes. Every cleaner we send into a client’s building is background-checked first.
Who makes sure the work gets done when we outsource?
Our supervisors carry out quality inspections, walking the building against your written task list.
Will we get proof of insurance?
Yes. Each client is handed a certificate of insurance, and we hold a bond and insurance, with workers’ compensation in place for the crew.
Can our own staff keep some tasks while you handle the rest?
Yes. The written task list can split the work, so your team keeps the duties it prefers and our crew covers the cleaning assigned to it.
